Stock alerts and inventory tracking for small businesses

How stock alerts work

  • Jobs out, stock down: material used on a job comes off the count as the job goes out.
  • Your levels: anything under the level you set is flagged to you before it runs out.
  • Written, not guessed: counts move only from what somebody wrote down, never from a guess.

Invoices, payments and stock are written once and carried through to QuickBooks Online and whatever inventory system sits in front of it, such as SalesBinder.

One version of the truth

No retyping the week into the books on a Sunday, and no second version of the truth in a spreadsheet. The count you see is the count your invoices and your accounting agree on.

Records first

An alert built on a wrong count is worse than no alert. The records are fixed first, then the alerts are built on top, set up against your own records and tested on a month whose answer you already know.

Stock alert questions

Does it work with SalesBinder?

Yes. Invoices are written once, in the system that raises them, and SalesBinder's own connector carries them into QuickBooks Online. Stock comes down as the invoice goes out.

Does it ever change my stock counts by itself?

No. Counts move only from what somebody wrote down, such as a finished job or an invoice, never from a guess.

When do I get told about low stock?

When an item drops under the level you set for it, so you hear before a job is standing still waiting for it.

Do I need new inventory software?

It is set up against your own records and the systems you already use, such as QuickBooks Online and the inventory system in front of it.
